Job costing is a comparison, not a verdict. It keeps estimated and actual inputs attached to one job so a team can identify where scope changed, where assumptions missed and where a process needs a closer look.

Know the baseline

Price the work from explicit inputs.

Job costing starts with a traceable estimate: material, waste, bought-in work, labour, machine or finishing time, installation and overhead assumptions. The point is not a universal percentage; it is a basis that your business can explain and review.

Keep estimate inputs separate from actuals. A forecast is useful, but it is not evidence that a job made the margin expected.

  • Quoted revenue and exclusions

  • Margin or markup definition used by the business

Capture actuals

Make variance worth investigating.

Record the actual material issue, external supplier cost, labour and any approved variation against the same job reference. Capture source and timing where possible. A difference becomes useful when the team can distinguish a changed scope from waste, rework, purchasing or a pricing assumption.

Use the result carefully

Costing helps decisions; it does not guarantee profitability.

Review a pattern across comparable work before changing a price list or labour assumption. One unusual site, late customer revision or supplier delay can be commercially important but not representative. Tax, accounting treatment and financial controls need the business’s own professional advice.
