The practical answer
A quote should show what is included, what is excluded, and which facts are assumptions. It supports commercial judgement; it is not a price list, contract or technical assessment.
Scope
Separate confirmed facts from assumptions.
Record sign type, quantity, location, dimensions, finish, target date and evidence source. Put a survey, customer instruction or prior drawing beside the fact rather than relying on memory.
- Inclusions and exclusions
- Revision and proof-change route
- Access, supplier and customer dependencies
- Acceptance, validity and approved commercial terms
Worked sample
Quote a fictional vehicle-graphics brief without hiding unknowns.
Synthetic sample: VX-208 is a partial wrap for a delivery van. The customer supplies panel artwork; the team has not inspected the vehicle. The quote includes print, laminate and scheduled application time, but excludes paint repair and any panel condition not visible in the supplied photos.
Boundary
Do not turn a checklist into an approval claim.
Use your own verified rates, tax treatment, payment terms and authority controls. A checklist cannot determine suitability, permits, safety requirements or a customer's legal acceptance.
A sample, not a promise
